It’s my deepest desire for you to feel incredibly safe, held, and clear before you register, in the months leading up to our gathering, and during our gathering itself.

Guiding in person events since 2015 (including during the pandemic!!) I’ve learned a lot about how we can create this safety through transparency. Above all, the more clarity we have right from the beginning, the safer we’ll feel, and the deeper we can go when we gather in person.

That’s why in addition to ALL of the information on our registration page, I also have these in depth Terms & Conditions (written in layman’s terms for you) so you know what you’re agreeing to. This way, we both step in, with eyes fully open, ensuring it’s the right fit.

Pilgrimage to the Heart Retreat - Terms & Conditions

  • Payments cannot be transferred to other participants nor to future in person gatherings. This is because space is so limited and our costs are so high to put on these events.

    Please purchase consciously.

    Please understand that in order to continue operating these events, with compassion we cannot make ANY exceptions due to injury, illness, job loss, financial challenges, or other reasons. Please purchase travel insurance to cover your costs in case of emergency.

  • Once your application is approved, Hayley will send you a payment link and your space will be held for 24 hours.

    Once that time passes, there is no guarantee your original room choice will still be available. If you purchase this event later than 24 hours from your application approval email, you may need to select a different room choice. No refunds will be given.

  • Pay in full and payment plan options available. Failure to pay your room and board fee will lead to the relinquishment of your space and no refunds.

  • When you choose a payment plan you enter a contract with the company you register through, and your payment plan is not handled by Hayley Ebersole or Body-Mind Freedom. Some of these providers only offer payment plans to customers with USA bank accounts and phone numbers. If you are in Europe, Canada, or Australia, click the PayPal option to see payment plans. If you are overseas but have a USA phone number and bank account, use an IP blocker set to a USA address to display all options.

  • Due to natural disasters, border closures, pandemics, a state of war, and other circumstances beyond our control, we will do our best to reschedule the event within one year. If we are unable to reschedule the event due to circumstances beyond our control, we will move the event online. Since we are still bound to our vendor expenses even in the case of a Force Majeure, NO REFUNDS can be offered.

    Alternatively, you can cancel your space and lose the retreat center fee, but still transfer your program fee ($2222) to a future ONLINE (only) course(s) to use within one year of the cancellation.

    Hayley cannot promise or guarantee there will be courses of this exact value available, nor that she will produce new courses to fulfill this exchange. Thank you for understanding that in a rare situation like this, Hayley doesn’t have control over fulfilling our original agreement, and we all need to remain flexible.

  • Before or during the retreat to the extent that she is unable to facilitate (in the case that she is bedridden, unable to speak or move, or is hospitalized), the retreat will still commence and be guided by her assistant and retreat team.

    She will make up for the lost sessions through offering you an online version of the event at a later date, to be arranged based upon her recovery process.

    (This has NEVER happened, and Hayley is 100% committed unless she is completely incapacitated and unable to physically be present.)

  • In the rare case that we elect to cancel the retreat due to low enrollment or for any other reason, you will receive a full refund of all payments made, minus 10% non-recoverable payment processing and bank transfer fees issued within 180 days of cancellation.

    OR you can receive an immediate full balance transfer for a future ONLINE event.

  • In the rare case of travel emergencies, injuries, or damages, to protect yourself, Hayley Ebersole, our team, and the retreat center, you are required to purchase travel insurance for this event.

    Proof of travel insurance must be submitted before the retreat begins for you to be able to attend. It’s a small extra cost but creates a lot of added transparency, safety, and security so we can relax and know we’re all covered in the rare case of emergencies.

  • Group participation is fundamental for this experience and creates group safety and trust. You agree to only register if you commit to attending all of our sessions, except in the unlikely case of illness or injury.

    Group excursions are also required as we will be doing ritual work together as part of our practices. The exception is that if you have severe seasickness or fear of open water and being on a boat is a deal breaker for you, you can opt-out of that excursion. In that case, please give us advance notice.

  • Do not expect or plan to work, study, go shopping, or have other travel plans outside of our group program.

    If you want to explore Sedona on your own time, buy souvenir gifts, or go for different excursions not included in our program, please book time before or after the retreat. There will not be time or space during the retreat for these activities.

  • The entire Aegean and all Cycladic Islands are known for strong, temperamental winds that can impact flights and ferries. To ensure you arrive to our retreat on time, before our group Opening Ceremony, please arrive at least one day before the event to give yourself extra buffer time in case of unexpected flight delays, weather problems, or ferry cancellations.

    Please also give yourself time to adjust for jet lag and time zone differences if you are coming from another region of the world.

  • All practices are done at your own risk and are not a replacement for therapy or professional mental and physical health services.

    Hayley Ebersole and her team assume no liability for any injuries (physical or psychological) incurred during the retreat. Please ensure you are in a physically, mentally, and emotionally stable place and have the capacity to self regulate and support yourself through intense inner processes.

  • Hayley Ebersole assumes no liability for any injuries or damages incurred through this event. All practices are taken at your own risk through your own free will choice.

    When you register you understand that Hayley Ebersole and her support staff are not medical nor psychological professionals and are not available for one to one support during the event. You also understand that travel inherently comes with risks.

  • Our morning practices include intuitive feminine dance arts that can release a lot of energy. Our pilgrimages and excursions on the island will also sometimes require a lot of walking, including some short hikes on rugged trails in nature.

    Please only register if you are in a stable physical state for daily movement in nature.

  • Hayley Ebersole facilitates at an advanced level, and will not be explaining basic meditation nor movement concepts, and expects you to already have a foundation of embodiment practice.

    Please also note, this is not a yoga retreat.

    While Hayley’s background in yoga studies and training influences the somatic work she guides, there won’t be any yoga practices.

  • Please only register if you have a solid foundation of personal practice, self awareness, emotional maturity, and the capacity to self regulate.

    Hayley Ebersole and her team are not responsible for your triggers, challenges, and growing edges.

    Please come with the understanding that you will be holding space for yourself in this process.

  • Either through past enrollment in Body Temple Mystery School, Feminine Awakening Sisterhood, Yogi to Priestess, Shakti Awakening, Embodied Woman, or through Hayley’s free online workshops.

    This ensures you know that you resonate with Hayley’s teaching style and that it’s the right fit for where you are currently on your journey.

  • It also does not include leaning on other participants as therapy professionals or healers.

    If you desire or need personal one on one support, please set up space to have private online sessions with your therapist, mentors, healers, or family and friends.

    You can also book massages and healing treatments onsite at Okreblue. Of course, when mutually agreed upon and reciprocal, sharing with other sisters during your free time can also be deeply supportive. Always ask for consent first.

  • This gathering is also not a facilitator training and does not qualify you to teach a particular modality.

    Rather, this gathering is designed to support you in discovering and deepening your voice, your truth, your gifts, and your calling. What you uncover, integrate, embody, and reclaim during this gathering can absolutely support the work you are already qualified to guide, or may help direct you towards the next steps for trainings and qualifications. However it does not accredit you to teach any particular modality.

  • You agree that you will not touch another body without consent, make comments about another’s body, sexually engage with or make sexual comments towards any participants or staff members, make any form of racial comments about another participant or staff member, or engage in gossip about any participants or staff members.

    Please do not touch other participants during our dance meditation processes. If you see someone you believe needs support, please instead alert one of our team members. This is for your safety and theirs.

  • If you have problems or need support with your room, meals, or other logistics connected to the retreat center, you agree to communicate directly with the reception staff at the retreat center.

    If you have problems or need support with our group program, you agree to speak directly to Hayley’s support team. (This is to ensure Hayley can conserve her energy to best serve the group through her facilitation.)

  • When you register you agree to refrain from taking any and all mind altering substances during the entirety of the event, including any form of psychedelic plant medicines.

    You agree to not purchase or drink alcohol at the retreat center or during free time, as this may impact our group sessions.

    You agree to refrain from smoking cigarettes during the gathering, as this can create an allergenic environment for participants and staff.

  • This is to ensure we do not guide practices that are contraindicated with your medications. If you feel called or guided to go off of your medications, our retreat is not a safe nor appropriate place to do this.

    Please do so under the guidance of your health practitioner, once you are back home in your own living space or with sufficient time before you arrive. This is for your personal safety and the safety of all participants.

  • Including chemical insect repellent and chemical sunscreen, to create a safe and non allergenic group environment. Natural alternatives may be used outside or in your private room, but never applied in shared indoor spaces since even natural products can cause allergies.

    This way we create a low-allergenic environment where everyone feels healthy and safe, and we respect the environment of the Cycladic Islands. 100% pure essential oils can be brought to the practice space and may be used in some of our women’s temple practices.

  • If you have severe allergies that require a high level of care and diligence, please be aware that we may not be able to fully accommodate your needs.

    Our gathering will take place in October 2025 during the Fall season in Sedona, Arizona. While this time of year brings cooler temperatures and stunning autumn scenery, conditions can vary. Depending on the weather, some plants may still be in bloom, and the natural desert environment can occasionally carry dust or pollen through the air.

    If you are sensitive to seasonal allergens, we encourage you to plan ahead and bring any necessary medications or precautions to ensure your comfort throughout the event.

    Your well-being is a priority, and we want you to have a smooth and enjoyable experience.

  • To give everyone space for deep sleep and quiet solitude to process and integrate. Please do not approach other participants during this time for conversation.

    If you and another participant both agree to speak together during this time, or if you need to make a phone call, please go offsite from the retreat center to not disturb other participants.

    In case of emergency or a pressing matter, please go to the retreat center staff or Hayley’s assistants directly.

  • and to not use the shared room for making phone calls, watching videos, recording voice messages, or disturbing the peace within this shared sleeping space.

    If you have sleep disturbances, loud snoring, sleep apnea, nightmares, or plan to make phone calls from your room, we require that you book a private room to not disturb a roommate.

    If you are highly noise sensitive or highly energetically sensitive, it is advised that you book a private room. We will not be held financially responsible if you decide to change to a private room during the retreat due to noise disturbances (and this option may not be available if all rooms are booked).

    If you are causing the noise disturbances (loud nightmares, making phone calls, making noise in the middle of the night) we will first ask you to respect the shared space or to pay the difference for a private room (only if available, otherwise you may need to move offsite at your own expense.)

  • Our retreat center is designed with sustainability and ecological mindfulness in mind, aligning with the natural beauty and spirit of Sedona, Arizona. To honor this, there are no televisions or air conditioning, but you’ll find ceiling fans, fresh air, and excellent natural ventilation to keep the space comfortable.

    Our gathering takes place in October, when the weather is typically mild during the day but can turn cooler in the evenings, so we recommend bringing a jacket or light sweater. Sedona’s natural environment can also bring occasional strong winds, which may impact internet connectivity at times.

    If you need reliable communication for family or work purposes, we suggest ensuring you have a solid data plan with your mobile provider prior to arrival.

  • To support a cohesive, sacred group experience, phones, tablets, laptops, and other forms of technology must be kept out of communal spaces including during meals and in our practice spaces.

    Please do not take photos or videos during our practices and please do not bring your phone into our practice space. This is to respect everyone’s privacy and to foster an environment of safety, depth, presence, and sacredness.

    For some of our field trips and excursions you may desire to bring a camera or phone to take photos of our locations. In this case, I will offer specific guidance about when it’s ok to take photos, so we can go deep in our rituals without distractions. Always ask permission before taking photos of anyone in the group.

  • To ride the waves of resistance that may come, to take responsibility for your experience, to self regulate through emotional intensity, to be present and unplug, to receive the fullness of what this experience has to offer you, and to cherish, celebrate, and enjoy the magic and the medicine we co-create together.

    Because group dynamics are so vital in this work, it’s essential that you come willing and open for genuine connection, depth, and growth.
